We are seeking an exceptional Executive Assistant and Head of Administration to play a pivotal role at the heart of our organisation. This is a unique opportunity to act as a trusted support to the CEO while leading and shaping a high-performing administrative function across the Trust.

This role goes far beyond traditional executive support. You will maximise CEO effectiveness by strategically managing priorities, driving organisational focus, and ensuring seamless operations, while also acting as a Network Leader to strengthen processes, governance, and administrative excellence across the organisation.

Key responsibilities:

Executive support & strategic partnership:

  • Take full ownership of the CEO’s time, ensuring focus on the highest-value priorities
  • Manage a complex and forward-looking diary aligned to organisational goals
  • Act as a key gatekeeper and communication bridge, managing access with diplomacy
  • Deliver high-quality briefings to ensure the CEO is prepared for all engagements

Leadership of administration:

  • Lead and develop a high-performing administrative function across the Trust
  • Manage and support administrative staff, fostering a calm and efficient culture
  • Work collaboratively across teams to enhance operational delivery

Governance & company secretarial support:

  • Lead governance processes including Board and committee planning
  • Produce and distribute high-quality papers to support decision-making
  • Support Trustee recruitment, induction, and development
  • Act as back-up to the Company Secretary

Communication & stakeholder engagement:

  • Act as a communication proxy for the CEO, drafting internal and external messaging
  • Build strong relationships with stakeholders at all levels
  • Identify emerging issues and provide insight and feedback to the CEO

Projects & organisational delivery:

  • Draft Board papers and support strategic decision-making
  • Translate CEO priorities into action and drive follow-through
  • Support senior meetings, ensuring accountability for actions
  • Lead cross-organisational initiatives and improvement programmes

About you:

We’re looking for a highly organised, proactive and confident professional who thrives in a fast-paced environment.

You will bring:

  • Proven experience supporting a CEO or senior leader at executive level
  • Expertise in complex diary management, prioritisation, and stakeholder coordination
  • Experience leading or managing an administrative or business support function
  • Strong relationship-building and communication skills with senior stakeholders
  • Exceptional discretion and ability to handle highly confidential information
  • A proactive mindset, with the ability to anticipate needs and solve problems
